Terms of agreement for exhibitors
1. Please note: Submit your registration as early as possible. Registration forms will be registered and numbered in the order received. The registration form is a binding agreement. Exhibitors withdrawing from the exhibition or reducing their exhibition area by more than 25 percent will be charged as follows:
• Cancellations/reduction notice received in writing at least two (2) months prior to the exhibition,25 percent of booth rental/cost of reduced area.
• Cancellations/reduction notice received in writing at least one (1) month prior to the exhibition, 50 percent of booth rental/cost of reduced area.
• No refund will be provided in case of cancellations later than one (1) month before the exhibition. There will not be any refund of the registration fee.
2. SHARED BOOTHS: When several companies are to share a booth, each participant must submit a separate registration form and pay the registration fee. The total booth area is assigned to one of the companies, which will be regarded by the exhibition organizer as the main exhibitor and its primary contact, taking responsibility for all matters. Invoices, space allocations and technical order forms for the booth will be sent only to the main exhibitor. The main exhibitor will be responsible for notifying and invoicing the other participants sharing the exhibition booth. Each company sharing the booth must be named on the registration form. Only one stand number will be assigned to the entire booth.
3. The exhibition organizer reserves the right to stop accepting applications at any time or to reduce the amount of space requested if the exhibition is fully subscribed before the scheduled registration deadline. Should an exhibitor use more – or less – space than allotted by the organizer, the organizer reserves the right to revoke said exhibitor’s space, to limit, or even assign the exhibitor to another booth. The organizer can also refuse to accept registrations, to prohibit specific goods and services from the exhibition, and to adjust the amount of booth space requested. The final decision on the allocation of booth space rests with the organizer.
4. Detailed technical regulations and booth allocation documents will be sent to the exhibitors after the closing date for registration. Exhibitors must follow these regulations. The organizer reserves the right to adjust the allocated booth area.
5. BOOTH STYLE: An OPEN BOOTH is constructed entirely by the exhibitor. This type of booth will generally be set up with several openings. OPEN BOOTHS are located together, wherever possible, as freestanding blocks with other OPEN BOOTH exhibitors. No partition walls or uprights will be supplied by the organizer for OPEN BOOTHS. However, the exhibitor must be prepared for the possibility that neighbouring exhibitors may erect partitions. Layouts must be approved in advance. Minimum booth area is 50 square metres. WALL BOOTHS are constructed with standardized front poles assembled with side and rear walls, which are included in the base booth rental charge. Minimum stand area is 9 square metres.
6. TERMS OF PAYMENT The registration fee and fifty percent (50 %) of booth charge must be sent along with the original registration form. The remaining charges are invoiced in June 2009. Payment is due on receipt of invoice. If invoices are not paid in accordance with these terms the organizer reserves the right to allocate assigned space to other exhibitors.
7. A completed registration form and payment of the registration fee entitle exhibitors to free listing in the exhibition catalogue. The opportunity to advertise more extensively in the catalogue will be offered to all exhibitors.
8. Subletting exhibition space is not permitted.
9. Only products mentioned on the registration form can be exhibited. Goods must not be removed from the booth during the exhibition without the organizer’s written consent. Products of erotic or forcible character are not permitted.
10. Heavy items or equipment that exceed the load of 2.000 kg. per square metre must be specifically noted on the registration form.
11. Posters or other advertising material may not be displayed or distributed at public exhibition or parking areas without special permission from the organizer. Samples and advertising material may only be distributed at the exhibitor’s own booth.
12. Demonstrations, distribution of samples, performances, use of audiotapes, film, etc., must be cleared with the exhibition management. Instructions for conducting these activities must be closely followed. The exhibition management must make certain that such activities do not disturb other exhibitors. The use of loudspeakers, amplifiers or microphones is prohibited.
13. Exhibitors are responsible for any damage or injury they, their employees, their products, etc., cause to the buildings, furnishings, installations or people. Instructions and regulations provided by the exhibition organizerand public authorities must be closely followed. Exhibitors beat the cost of such repairs, damages and injuries.
14. Exhibitors are responsible for arranging all transportation, installation, dismantling, packing and removal of their goods, equipment and decorations. All shipments and consignments for exhibitors must be clearly labelled with both name and booth number.
15. After dismantling, booths must be returned free of trash, decorations, etc. Failure to return clean booths and booth items will result in the exhibitor being billed for the cost to the organizer of cleaning up.
16. The organizer is responsible for daily washing and/or vacuum cleaning of floors, and the emptying of wastepaper baskets in the exhibition halls. Any additional cleaning requirements must be specifically ordered, and the exhibitor will pay for these services.
17. The organizer will arrange normal security activities from the last day of installation to the close of the exhibition, but accepts no responsibility for goods, equipment, displays or third part’s possessions. Exhibitors are responsible for arranging all the insurance coverage they require. All access to the exhibition area is prohibited outside of regular opening hours.
18. Exhibitors must settle any unpaid accounts with the organizer prior to the start of booth installation.
19. If the exhibition cannot be staged or has to be postponed for reason of force majeure, fire, flood, measures taken by local or central government, strike/lockout or any comparable circumstance, the parties shall have no claim against one another. The exhibitor will have the right to the same or similar place the moment the exhibition can once again be held.
20. Circumstances which are beyond organizers control, such as cuts in the supply of electricity, water or heat, or in the telecommunication and data lines, do not entitle the exhibitor to demand compensation or refund of stand rental.
21. It is assumes that exhibitors act in conformity with Norwegian legislation and acquire all necessary permits, if any, from the responsible authority in connection with the exhibition.
22. On account of VAT, those exhibitors selling directly to consumers must be registered in the tax register of the chief county tax inspector through a Norwegian representative who is liable to duty. Every booking is bound by the above-mentioned terms, regardless of any reservations, which might be expressed.
